1. What This Policy Covers

This policy explains what happens to the information you give PainPoint Solution ("PainPoint," "we," "us") through our assessment form, our contact form, by email, or by talking with a consultant. It applies to current clients, possible future clients, and anyone who sends us a message. If you're just looking around the site, we don't collect anything about you (see Section 8).

2. What We Collect

When you submit an assessment, we collect what you choose to tell us across four areas:

  • Company details — name, website, industry, how long you've been in business, team size, and a short description of what the business does.
  • What's working — the strengths and recent wins you tell us about, so we know what to keep.
  • Where it hurts — the problems you describe, what they're costing you, and what you'd fix first.
  • Contact information — your name, job title, email, and phone number if you choose to give it, so a consultant can get back to you.

When you use our contact form, we collect your name, your email, your company name if you give it, and your message, so we can reply to you.

We don't ask for bank account numbers, passwords, or other private login details, and you shouldn't include them in your answers. If a question feels too personal, you can keep your answer general. Rough numbers and ballpark answers are fine.

3. Why We Collect It

There's one reason: to understand your business well enough to find the problem that matters most, and to plan how a consultant can help fix it. We use what you send us to:

  • Review your assessment and prepare for a follow-up conversation.
  • Have an AI agent look over your answers using the PainPoint Diagnostic, our own method for finding where businesses usually lose money, so the consultant isn't starting from scratch. A consultant checks that work before we give you any advice.
  • Keep a record of what we talked about if you become a client, so you don't have to explain your business again at every step.

We do not use what you send to build an advertising profile about you, add you to a mailing list, or sell you anything beyond the conversation you asked for. No automatic sales emails and no mailing list. That's a promise we make on the site, and it applies here too.

4. Who Can See It

Your assessment is first looked over by our AI agent (see Section 3), then read by a PainPoint consultant. It never goes into an automatic sales system. Only PainPoint staff who are working with you, or deciding whether we can help, can see it.

We do not sell your information. We do not share it with advertisers, companies that buy and sell personal data, or marketing services. We do not share it with other clients, and we won't use it as an example of our work unless you clearly say yes first.

The outside companies that may handle your data are the services we use to run the business. The main ones are:

  • Google — our forms send your answers to Google Apps Script, which saves them in Google Sheets. We're notified about them by email, including through Gmail.
  • Anthropic — our AI agent mostly runs on Anthropic's Claude AI models, which read your assessment answers for us to create the analysis. Your answers are not used to train AI models, not by us and not by the AI companies we use.
  • Our website host — runs the website. Like any website, it briefly handles basic technical details from your visit (such as your IP address, a number that identifies your internet connection) so it can show you the pages.

These companies handle data for us or to run the site, and they follow their own security rules. We don't give them your information for their own marketing or advertising.

5. How It's Stored

Assessments and contact form messages are saved in a private system that only approved PainPoint staff can open. They are never posted or made public. We use reasonable security to protect them, but no online system is 100% safe. If we ever believe your data was exposed, we'll tell you directly.

6. How Long We Keep It

If you become a client, we keep your assessment for as long as we work together, plus a reasonable time after, in case you come back to us. If you send an assessment and we don't end up working together, we keep it long enough to review it and follow up, then delete it. That's usually within 12 months, unless you ask us to delete it sooner. Contact form messages that don't lead to working together are handled the same way.

7. Your Choices

You can ask us, at any time, to:

  • Send you a copy of the information we have about your company.
  • Fix anything that's wrong.
  • Delete your assessment and contact details from our records.
  • Tell you clearly who at PainPoint has looked at it.

To do any of this, email us at info@painpointsolution.com. We'll reply within 3 business days, the same as we do for assessments.

8. Cookies, Analytics & Do Not Track

Our website doesn't use advertising cookies, hidden trackers, or tools that count and study visitors, and we don't follow you to other websites. Some browsers have a "Do Not Track" setting. Since we don't track you, the site works the same whether that setting is on or off. If we ever add tools to count visitors, we'll update this section first.

9. Children

PainPoint's services are for businesses, not for anyone under 18. We don't knowingly collect information from anyone under 18. If we find out we have, we'll delete it.

10. Changes To This Policy

If we make an important change to how we handle your information, we'll update this page and the "last updated" date at the top. If it's a big change and you're already a client, we'll tell you directly instead of just updating this page.
